JOB SUMMARY: Responsible for the daily operations of RIS/PACS equipment and software/interfaces including results workflow, image work flow, archiving, auto-routing, prefetching and other related activities. Provides clinical direction between Radiology and other departments that are related to reporting, imaging initiatives, procedures, and assisting with existing or new equipment and imaging endeavors.
DUTIES & RESPONSIBILITIES:
OPERATIONS : Responsible for daily operations of RIS/PACS system and equipment including results workflow, image work flow, auto-routing and pre-fetching and other related activities.
- Manage and coordinate system security to ensure that unauthorized personnel cannot access vital information on the system including internet access.
- Assign and update user and system passwords and access levels.
- Perform regular inspections to ensure that all equipment is well maintained and operating in a safe work environment.
- Perform backups as needed.
- Check the process monitors as needed to ensure that studies are flowing from modalities to archive and routing to display monitors.
- Check the process monitors as needed to ensure that results and studies are flowing through the interfaces.
- Resolve incorrect or corrupted results and/or studies.
- Split and merge results and/or studies as needed.
- Update the application system configuration forms as new modalities, workstations, and RIS codes are added over time.
- Investigates, identifies and prepares proposals to solve operational problems within the clinical areas
- Oversees vendor activities in all phases of installation and implementation of new systems including hardware and software upgrades.
- Works closely with the Radiology Supervisor, Director of Imaging, and the ITS department to ensure timely and complete capture of DICOM results and digital image data into PACS system as well as network transmissions, RIS validation and exceptions handling.
- Works closely with Radiology, the ITS department, and quality management to identify and design future needs and efficient work flow processes.
- Other duties as assigned.
- Responsible for operating and capital budget requests for any RIS/PACS equipment including hardware and software.
- Provides input to Radiology supervisor, Director of Imaging, and Director of IT to assist in identifying present and future needs for RIS/PACS equipment.
- Train new hires and update training as needed for all employees.
- Assist end users with RIS/PACS related questions.
- Assist Radiologist in adjusting and changing “hanging” protocols as needed.
- Ensure all clinicians are properly trained and updated as further training becomes necessary.
- Maintain a secure lost list with IP addresses of all equipment connected on the RIS/PACS network.
- Maintain a secure record of all RIS/PACS equipment, with physical location, hardware configuration, date and time of installation, date and time of both soft and hardware upgrades and software revisions.
- Perform QC as indicated for RIS/PACS related hardware, including but limited to monitors, imaging systems and reading stations.
- Serve as the archive manager to prepare and load media, service request for any off-line volumes and manage queue activity.
- Develops policies and procedures that comply with all regulatory and accrediting bodies, including but not limited to NYS, FDA, and ACR.
- Reviews feedback from system users. Collect and analyze support data. Recommends procedural and educational changes as appropriate.
- Provides input to the Radiology Supervisor, Director of Imaging, and Director of IT in the development of operating standards, policies, and procedures related to imaging.
- Manage and coordinate activities that require intra-departmental effort between ITS personnel, Radiology personnel, and RIS/PACS vendor representatives.
- Act as point of contact for vendor service, to request assistance through remote dial up and on-site service.
- Act as a point of contact to coordinate all upgrades to RIS/PACS systems and ancillary systems associated with reporting and resulting.
- Develops and maintains relationships with the providers and clinical staff to assist in creating and maintaining effective channels of communications.
- Serves as a liaison with providers and clinical staff to promote delivery of quality and cost effective patient care.
- Works to ensure that information is disseminated from all levels and effectively communicated to all levels of the organization.
- Communicates with department staff through regular staff meetings and other communication tools.
EPIC Operations
- Monitor the following interfaces in accordance to their schedule. Including but not limited to:
- 29915-SDMG INCOMING FINANCIAL TRANSACTION ERRORS-Reviewed once per day to identify charges that need to be reconciled to correct patient’s account and resubmitted thru the Interface.
- 30073-SDMG MVHS RADIOLOGY INCOMING RESULT ERRORS- Reviewed throughout the day to identify lab results not populating patient’s chart. Identify patient’s MVHS MRN and edit patient identifiers to add MVHS MRN. Resubmit results.
- 30033-SDMG GE IMAGECAST INCOMING APPOINTMENT ERRORS-Reviewed throughout the day to identify Radiology scheduling messages that did not populate the patient’s chart or appointment desk In Epic. Correct error and resubmit schedule message.
- 30034-SDMG GE IMAGECAST INCOMING RESULT ERRORS-Reviewed throughout the day to identify Radiology results that did not populate the patient’s chart. Resolve error and resubmit the message. Verify results in chart.
- 30073-SDMG MVHS INCOMING RESULT ERRORS-
Reviewed throughout the day to match patient data and ID. Resolve errors so result can populate into the patient’s chart.
- 29898-SDMG MVHS PROVATION INCOMING RESULT ERRORS-
Reviewed throughout the day to match patient data and ID. Resolve errors so results con populate into the patient’s chart.
- Maintain Imagecast dictionaries with all updates to test codes, scheduling changes, provider updates, etc. Review this information in Epic and submit AIMS/Service Now tickets for any updates that need to be made in Epic. Review and validate any interface testing.
- Monitor Imagecast Connect R for any scheduling/result errors that prevent patient scheduling and result messages from populating Imagecast RIS. Correct errors and verify scheduled and resulted properly.
May be exposed to hazardous drugs. Attends OSHA training upon initial employee orientation and annually completes an OSHA competency.
Requirements:
RELATIONSHIP WITH OTHERS: Direct contact with Radiologists, providers, ITS, and Radiology staff. Ability to work closely with clinic physicians and Radiologists in dealing with imaging, resulting, and reporting. Must show the ability to establish an effective working relationship with associates, peers, and the medical staff. Ability to coordinate the activities of the department and to demonstrate leadership skills as related to RIS and PACS. Communicates with vendors, placing orders, initiating service, overseeing service maintenance on equipment and software. Reviews service records and invoices related to RIS and PACS.
EDUCATION/EXPERIENCE/KNOWLEDGE: Associate’s degree obtained through a formal program in related healthcare discipline or information systems discipline required. Position prefers 4 years or more of related clinical experience with a clear understanding of the “working” Radiology environment. Excellent written/oral communication skills required. Must be able to work effectively with diverse groups of people.
PHYSICAL REQUIREMENTS: Requires sitting, standing bending and reaching. May require lifting up to 20 pounds. Requires manual dexterity sufficient to operate standard office equipment such as computer, fax, calculators and telephone. Requires normal hearing and vision.
